Year 3 General Information - 2025

Professional Expectations

Professionalism is a required element of all ESFCOM course work. Students are expected to exhibit the core attributes of professionalism (reliability, willingness to ask for help/admit limits, integrity, duty, respect, honesty, advocacy, etc.) throughout their clerkship training which includes attendance and participation in all required activities, respectful and timely communications with all faculty/staff, timely completion of all assignments and respectful and appropriate interactions with patients, families, communities, and care teams. If students do not meet these professionalism expectations their overall LIC grade will be impacted. The Clerkship Co-Directors are ultimately responsible for determining the level of concern of a particular professionalism lapse. 

  1. Minor professionalism lapses include things like tardiness, turning in assignments or assessment forms late, not responding to emails, or not attending a single AHD session (unexcused absence). 

  1. Egregious concerns or a pattern of ongoing problems despite reminders may also be grounds for course failure. Examples of this include, but are not limited to untrustworthy behavior, dishonesty, endangering patients, racist, sexist, or otherwise biased behavior, and/or a significant pattern of ongoing problems despite documented feedback on multiple occasions. 

If a professionalism concern is identified as egregious, the concern will be reviewed by the Professionalism Excellence Advisory Committee  

(PEAC) and/or the SEPAC. The PEAC will provide a recommended course of action to the SEPAC.

Professional Standards

In your final year of training, Year 3 students are expected to uphold the following standards of professionalism:

Completion of all course assignments by the due date  

See the Assessment Calendar for an overview of assignments across the year. Assignment information will be provided via your gradebook these will be updated across the year with plenty of time for review and completion.

  • If students are uncertain about a course requirement, they should reach out to the course director or the Assessment Unit for clarification.

Extensions

Extensions are to be requested through the Clerkship Assessment and Curriculum Co-Directors, Drs.Lacy and Scott. Please email both directors (mary.lacy@wsu.edu and sara.scott@wsu.edu) for your request. Extensions will rarely be granted, except in cases of approved absences and personal emergency.

Tracking Your Duty Hours

Students will track their time in the clinical environment by addressing daily clinical events in E.Flo. Students have the option to confirm, adjust, or decline each clinical event in E.Flo.

Please refer to The College of Medicine Duty Hours Policy linked here for information on attendance, maximum hours, and patient care requirements.

Recording duty hours is a required task for Year 3 and may affect end of year assessment.

Make-up Clinical Work

In the event of illness or other unexpected, excused absences students will be advised to contact their Year 3 campus coordinator and clinical preceptor. Students who miss over 5 days in the LIC may be asked to make-up clinical time or perform additional assignments related to missed content.

Logging your Experiences

Students are required to track their progress in required clinical tasks across the year using their E.Flo logbook. It is expected that students maintain consistent (weekly) engagement with this tool to help guide future learning experiences and prepare for Year 4 by seeking out these required tasks.

Timely and respectful responses to emails from all WSU personnel including faculty, coordinators, staff members, and community stakeholders

Students must check their WSU email daily. If a response is required, please respond as soon as you can. Timely responses may impact clinical scheduling and grading turnaround times.

Assessment Forms Submission

You are expected to use E.Flo to collect your assessment feedback. Paper forms are only to be used in case of technical difficulty. If your preceptor needs support using the digital format of assessment forms, please work with your campus team.

Final week forms must be triggered in E.Flo to preceptors by the last day of the rotation. Paper copies of forms must be submitted to medicine.assessmentforms@wsu.edu on a weekly basis.

Monitoring Assessment Form Completion

Students are responsible for ensuring their feedback is submitted and completed across the LIC. This includes not only triggering the form but following up on its completion.  

  • Challenges regarding form collection must be reported to the Assessment Team so you can be connected with the appropriate support. Do not delay in reaching out or wait until your rotation has ended.

These expectations ensure that the College of Medicine faculty and staff can support you if you encounter challenges during your rotation. It also ensures the timely processing of grades. 

If you do not meet the outlined standards of professionalism, your course grade may be affected. Please review the professional attributes criteria regarding timely completion of assessments and assignments.
